Privacy notice – University pilot pre-registration
1. Data controller

2. Data collected
University invitation code, linked institution, email address, cryptographically hashed password (never stored in plaintext), two consent-acknowledgment timestamps, policy version references, account status and basic operational timestamps. The system uses a security session cookie and limited, keyed hashes of IP addresses and email addresses to prevent abuse; raw IP addresses are not written to the pre-registration tables.
3. Purpose and legal basis
To accept and manage requests for pre-registration and prepare later pilot invitations, subject to applicable law (typically GDPR Article 6(1)(b), pre-contractual steps). Necessary abuse prevention and service security rely on legitimate interests (GDPR Article 6(1)(f)), after an appropriate balancing assessment.
4. Recipients and infrastructure
Registration records are held in the IONOS-hosted MariaDB service. Authorised GRX Global administrators may access records. University affiliation is used for institutional reporting and aggregated counts; individual records are not automatically made available to universities or other third parties by this registration function. Hosting, subprocessor details and any international transfers must be verified and stated before launch.
5. Retention

6. Your rights

7. Email verification and communication
No email verification message is sent during initial October 2026 pre-registration. Planned invitations toward the end of January 2027 will be managed as a later, separate process; the present system does not send mail. An entered address is not currently proven to be reachable.
Datenschutzhinweise – Hochschul-Pilotvorregistrierung
1. Verantwortlicher

2. Verarbeitete Daten
Hochschulcode und Institution, E-Mail-Adresse, ausschließlich gehashtes Passwort, Zeitpunkte und Versionen der Einwilligungs-/Bestätigungsangaben, Registrierungsstatus sowie technische Zeitstempel. Ein Sitzungscookie schützt die Registrierung; zur Missbrauchsabwehr werden kurzlebige, mit einem geheimen Schlüssel erzeugte Prüfsummen von IP-Adressen und E-Mails gespeichert.
3. Zwecke und Rechtsgrundlagen
Verwaltung der Vorregistrierung und Vorbereitung späterer Pilot-Einladungen, in der Regel als vorvertragliche Maßnahme gemäß Art. 6 Abs. 1 lit. b DSGVO. Erforderliche Systemsicherheit und Missbrauchsprävention beruhen nach Interessenabwägung auf Art. 6 Abs. 1 lit. f DSGVO.
4. Empfänger
Die Daten liegen in einer bei IONOS gehosteten MariaDB-Datenbank. Nur berechtigte GRX-Verantwortliche erhalten Zugriff. Hochschuleinordnung dient der Zuordnung und statistischen Auswertung; einzelne Registrierungsdatensätze werden nicht automatisch an Hochschulen weitergeleitet. Auftragsverarbeiter und Drittlandtransfers sind vor dem Start zu prüfen und zu ergänzen.
5. Speicherdauer
[KONKRETE SPEICHERFRIST ERGÄNZEN]. Nicht mehr benötigte Datensätze werden nach Maßgabe der gesetzlichen Vorgaben gelöscht oder anonymisiert. Technische Drosselungsdaten laufen ab und werden bereinigt.

7. Keine aktuelle Bestätigungs-E-Mail
Im Oktober 2026 wird keine Bestätigungs-E-Mail versandt. Die gesonderte Piloteinladung ist für Ende Januar 2027 geplant und nicht Bestandteil der jetzigen automatisierten Registrierung.

2. Datos tratados
Código de invitación, universidad vinculada, correo electrónico, contraseña protegida mediante hash, marcas de tiempo y versiones de las aceptaciones, estado de la inscripción y datos temporales de funcionamiento. Una cookie de sesión protege la solicitud; para limitar abusos se almacenan temporalmente valores criptográficos derivados de IP y correo, sin guardar IP sin procesar en las tablas de preinscripción.
3. Finalidades y base jurídica
Gestionar la preinscripción y preparar futuras invitaciones, generalmente mediante medidas precontractuales (artículo 6.1.b RGPD). La seguridad y prevención de abusos se apoyan en intereses legítimos (artículo 6.1.f RGPD), tras ponderación adecuada.
4. Destinatarios
Los datos se alojan en MariaDB de IONOS y acceden a ellos únicamente administradores autorizados de GRX Global. El código permite atribuir registros a universidades y producir estadísticas; la función actual no transmite automáticamente datos individuales a terceros. Deben verificarse proveedores y transferencias internacionales antes del lanzamiento.
5. Conservación
[DEFINIR PLAZO CONCRETO DE CONSERVACIÓN]. Los datos innecesarios se eliminarán o anonimizarán conforme a la ley. Los registros temporales de seguridad se eliminan periódicamente.
6. Derechos
